POSITION TITLE: Purchasing Clerk

PRINCIPAL DUTIES
  1. Orders and expedites parts, supplies, equipment and services for the Paving maintenance shop, interisland operations, A/C plants, and other departments from various sources.
  2. Picks up and/or receives parts, stocks items in the warehouse, and/or delivers them to mechanics or other parties as appropriate.
  3. Prepares contracts and purchase orders. Negotiates prices and terms/conditions with vendors; maintains contracts; keeps informed of market conditions and new products; evaluates vendor performance; and locates new sources of supply as needed.
  4. Consults with appropriate departments on issues related to purchasing, accounting, estimating, and equipment specifications and relevant applications.
  5. Uses multiple resources to search for parts and/or equipment as requested and/or needed, verifies with the requestor that the item is appropriate, and returns unwanted or inappropriate items in a timely manner.
  6. Consults with Parts & Equipment Coordinator to schedule deliveries and tracks the movement of equipment and parts for all islands.
  7. Assumes responsibility for oil and filters orders. Issues purchase orders for fuel.
  8. Responds to and prioritizes requests for emergency orders in a timely manner as directed by Parts & Equipment Coordinator or Acting Shop Manager - CFO.
  9. Researches past due and questionable invoices for reconciliation with Accounting.
  10. Files purchase orders, invoices and orders, and other miscellaneous documents in accordance with departmental procedures.
  11. Performs other duties as assigned.
  12. Promotes awareness of and follows Company and general safety policies.
  13. Exhibits a core understanding of mutual respect and good customer service orientation in interactions with all people in the workplace.
PRINCIPAL REQUIREMENTS
  1. Some college preferred.
  2. 2 years related experience, preferably in similar operation.
  3. Working knowledge of Word, Excel, Email; experience with and aptitude to learn in-house systems; keyboarding skills sufficient to complete daily tasks in a timely manner.
  4. Proficient with 10-key.
  5. Calculation of equipment costs.
  6. Must be able to read and understand equipment requirements and specifications.
  7. Required regarding equipment manufacturing and specifications.
  8. Valid Hawaii driver’s license and favorable traffic abstract.
  9. Excellent interpersonal and organizational skills.
  10. Must be at least 21 years of age.
