PRINCIPAL DUTIES
  1. Performs administrative functions for the department. Responds and assists with fleet related Department of Transportation regulations (registrations, safety checks, motor carrier vehicle identification cards, etc.).
  2. Orders and coordinates the purchase of parts, materials, equipment and outside services as requested by the Shop Mechanics; assumes responsibility for delivery, tracking and pick-up of parts and supplies.
  3. Implements and maintains the department’s automated Equipment Preventive Maintenance and Purchase Order/Equipment Inventory programs.
  4. Develops and implements the shop recordkeeping systems and maintains administrative and regulatory records in an organized and easily accessible system.
  5. Maintains inventory of supplies in stock.
  6. Maintains purchasing files and vehicle maintenance files.
  7. Ensures that vehicle registrations and safety checks are kept current and documentation is maintained in accordance with department procedures.
  8. Collects time cards and processes payroll to ensure timely and accurate submission.
  9. Codes invoices, repair orders, purchase orders and time cards for proper costing.
  10. Performs other duties as assigned.
  11. Promotes awareness of and follows Company and general safety policies.
  12. Exhibits a core understanding of mutual respect and good customer service orientation in interactions with all people in the workplace.
PRINCIPAL REQUIREMENTS
  1. Community college or some automotive trade school preferred.
  2. Two years’ experience in an automotive setting preferred.
  3. Working proficiency with Word, Excel, and Email. Adaptable to in-house software. Keyboarding skills sufficient to complete tasks in a timely manner. 10 key.
  4. Math skills to perform calculations for daily tasks and for general record keeping for the department.
  5. Able to read and understand technical and business documents.
  6. Valid Hawaii driver’s license, ability to drive Company pick-up truck, favorable traffic abstract.
  7. Reliable, organized, detail-oriented team player. Able to multi-task. Able to work under time constraints and meet deadlines.
  8. Excellent verbal and written communications skills.
  9. Able to lift up to 35 lbs.
